Freeflo — Terms of Service and Privacy Policy

This document combines the Terms of Service and Privacy Policy for Freeflo Pte. Ltd. ("Freeflo", "we", "us", or "our"). It governs your access to and use of Freeflo, an AI‑powered booking and payment assistant that operates primarily through WhatsApp. By accessing or using Freeflo (including by sending messages to Freeflo on WhatsApp or interacting with Freeflo‑generated booking flows), you agree to be bound by these Terms. If you do not agree, you must not use the service.
1. What Freeflo Is (and Is Not)
Freeflo is a conversational booking and payment assistant that helps independent teachers, instructors, and small studio owners ("Owners") manage schedules, bookings, and payments via chat, and helps students ("Members") discover and book classes. Freeflo: operates through WhatsApp and related web flows; does not require dashboards, logins, or native applications; and automates and assists conversations, but does not replace human judgment. Freeflo is not: a studio, marketplace, or class provider; an employer, agent, or representative of any Owner or Member; a payment processor or bank; or a guarantee of bookings, attendance, or revenue.
2. Eligibility
You may use Freeflo only if:you are at least 18 years old (or the age of majority in your jurisdiction); you have the legal capacity to enter into binding agreements; and you use the service solely for lawful purposes. If you use Freeflo on behalf of a business or other legal entity, you represent and warrant that you have the authority to bind that entity to these Terms.
3. Roles and Responsibility Boundaries
Owners (Teachers / Studio Operators)Owners are solely responsible for:the accuracy of schedules, class descriptions, pricing, and availability; the delivery, quality, safety, and legality of their classes or services;compliance with all applicable laws and regulations (including health, safety, tax, and consumer protection laws); and communications with Members, including cancellations, refunds, and disputes. Freeflo does not verify qualifications, credentials, insurance, or suitability of Owners.Members (Students / Customers) Members are responsible for:reviewing class details before booking; complying with Owner policies, including cancellation and refund terms; andensuring their own health, fitness, and suitability to participate in any class. Freeflo does not supervise, endorse, or guarantee any class, instructor, or outcome.
4. Bookings, Payments, and Fees
Bookings: Freeflo facilitates bookings by:interpreting chat messages; presenting schedules and available options; and requesting confirmation before publishing or finalising bookings. All bookings constitute agreements directly between Owners and Members. Freeflo is not a party to those agreements.
Payments: Where payment functionality is enabled: payments may be processed by third‑party payment providers; Freeflo may earn a percentage‑based fee per successful booking or payment; andthe terms and conditions of the relevant payment provider apply in addition to these Terms. Freeflo does not store full payment card details and is not responsible for failures or errors of third‑party payment processors.
5. Acceptable Use
You agree not to: use Freeflo for unlawful, harmful, abusive, or deceptive activities; transmit malicious code, spam, or misleading content; attempt to reverse engineer, interfere with, or disrupt the service; orimpersonate any person or misrepresent your identity or authority. Freeflo may suspend or terminate access if it reasonably believes these Terms have been violated.
6. AI‑Assisted Functionality
Freeflo uses automated systems and artificial intelligence models to:interpret messages; summarise or clarify inputs; and generate suggested responses or confirmations.While Freeflo is designed to be confirmation‑driven:AI outputs may contain errors or misunderstandings; andOwners must review and confirm information before relying on AI‑generated content.You acknowledge that AI output is assistive and not authoritative.
7. Data We Collect
We collect information necessary to operate Freeflo, including:Information You ProvideWhatsApp messages and media you send to Freeflo; schedules, class details, pricing, and booking information; andcontact details, such as phone numbers.Information Generated Through Usebooking records and confirmations; conversation state and metadata; and system logs and diagnostic information.Information From Third Partiesmetadata from the WhatsApp Cloud API; transaction references from payment providers; andOCR results from images you choose to submit.
8. How We Use Data
We use collected data to:provide and operate the service; manage bookings, confirmations, and notifications;improve reliability, safety, and performance; andcomply with legal and regulatory obligations.Freeflo does not sell personal data.
9. Data Storage and Processing
Data may be:stored in secure cloud infrastructure, including services provided by Amazon Web Services; andprocessed using third‑party APIs solely to deliver Freeflo functionality.Data may be transferred to, or processed in, jurisdictions outside your country, subject to appropriate safeguards.
10. Data Sharing
Freeflo may share data with:infrastructure and hosting providers; messaging providers, including WhatsApp; payment processors, where applicable; andservice providers operating under confidentiality obligations.Data may also be disclosed where required by law or to protect rights, safety, or system integrity.
11. Data Retention
Data is retained only for as long as reasonably necessary to:provide the service; andsatisfy legal, accounting, or regulatory requirements.You may request deletion of personal data, subject to applicable legal and operational constraints.
12. SecurityFreeflo implements reasonable administrative, technical, and organisational measures to protect data. However, no system can be guaranteed to be completely secure, and absolute security cannot be assured.
13. Intellectual Property
All software, branding, and content associated with Freeflo are owned by Freeflo or its licensors. You are granted a limited, non‑exclusive, non‑transferable right to use the service in accordance with these Terms.You retain ownership of your content but grant Freeflo a licence to process such content solely for the purpose of operating the service.
14. Disclaimers
Freeflo is provided on an "as is" and "as available" basis.To the maximum extent permitted by law, Freeflo disclaims all warranties, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non‑infringement.
15. Limitation of Liability
To the maximum extent permitted by law:Freeflo shall not be liable for any indirect, incidental, consequential, or special damages; Freeflo shall not be liable for loss of profits, revenue, data, or goodwill; andFreeflo’s total liability shall not exceed the fees paid to Freeflo in the twelve (12) months preceding the claim, or zero if no fees were paid.
16. Indemnity
You agree to indemnify, defend, and hold harmless Freeflo from and against any claims, liabilities, damages, losses, and expenses arising out of:your use of the service; your classes, services, or conduct; oryour breach of these Terms or applicable law.
17. Termination
You may discontinue use of Freeflo at any time.Freeflo may suspend or terminate access where required for legal, security, or operational reasons.
18. Changes to These Terms
Freeflo may update these Terms from time to time. Continued use of the service after changes take effect constitutes acceptance of the revised Terms.
19. Governing Law
These Terms are governed by and construed in accordance with the laws of Singapore, without regard to conflict of law principles.
